Recommended attendees: Leadership, administrative staff, IT, and clinical staff.

This functional, community-based exercise will test your organization's continuity of operations plan and downtime procedures.

Exercise Objectives:

  • Participants will test their continuity of operations plans in response to a network outage.
  • Participants will activate their downtime procedures for charting, client management, and other administrative processes.
  • Participants will discuss return-to-normal procedures once the servers are restored.

1. Who can join this exercise?

This exercise is designed for skilled nursing, assisted living, group homes/ICFs, homecare, hospice, and clinics. The exercise is open to any organization/facility in Minnesota who falls under these categories.

2. Do I need to register everyone from my facility who will be participating in the exercise?

No. Please only one registration per facility/organization.

3. I see two time options for the exercise. Do I need to join both?

No. Two time options are being offered in order to provide more opportunities for members to join. Please plan to attend one of the time options.

4. Where is the exercise being held?

The exercise is conducted through a virtual platform. You and your team will log-on from your location and the Coalition will lead you through the exercise. Log-in information will be provided one week prior to the exercise.

5. How long is the exercise?

The exercise will run for 2-1/2 hours. Please be logged on for the entire exercise.

6. Will this exercise meet CMS Appendix Z exercise requirements?

This exercise is designed to meet your Community-based, functional exercise requirement. You may also use this exercise as your "exercise of choice" if you have already completed your community-based requirement.

7. Will I receive documentation that I have completed the exercise?

Yes. Participants will be provided with an after-exercise report template to fill out with findings from the exercise. This completed report can serve as documentation of exercise completion during a survey visit.

8. Who from my organization should I invite to participate in the exercise?

CMS surveyors want to see both leadership and staff participate in exercises. For this particular exercise, we also recommend including clinical staff, administrative staff, IT, facilities staff, EVS staff, and human resources.

9. What do I need to do to prepare?

Reserve space for your team to gather on exercise day with internet access to log on to the exercise. Print out the materials the Coalition provides for you. Review any relevant plans prior to the exercise and provide staff training refreshers on your plans if needed.

10. Are there any materials I need to participate?

Yes. The Coalition will provide yo with exercise documents. The materials will be available for download from the Coalition website one week before the exercise and an email will be sent out alerting you they are ready for download.

11. Oh no! Registration is closed. Can I still participate in the exercise?

No. Unfortunately, once registration is closed, we are no longer able to add anyone to the registration list.

Planning, training, and exercise activities are determined through regional workgroups, grant guidance and the needs or gaps identified by Coalition members. The training is planned through regional workgroups and presented in an annual conference, and ongoing classes and workshops. Topics address all areas of study and planning that will enhance and improve the preparedness and sustainability of Minnesota’s emergency management with regard to healthcare services.
