Single Table - $1,500
Includes (1) 6’ table + 2 chairs + 2 representatives badges + small identification sign.
Bed Vendor - $3,000
Includes 2 spaces for one bed + small table + 2 representative badges + 2 chairs + small identification sign. All bed companies are required to be registered as a Bed Vendor. We must limit 1 bed per 2 spaces. If you would like to show 2 beds then you will be required to purchase 2 bed spaces ($6,000).
Additional Badge - $150
Note that any representative in the hall must have a name badge. Vendors will only have access to the Vendor Hall. The vendor badge fee does not cover conference registration for sessions or CE credits. If you wish to attend any of the educational sessions, you must also register as an attendee.
Any personnel changes that may occur (substitutions, additions, changes) should be made by the primary contact and sent via email to wocn@albrechtevents.com.
Have all representatives registered before Friday, September 5th.

- Credit Card payment only for Table and Bed Spaces.
- Vendors may not sponsor hospitality rooms during vendor hall hours or when educational offerings occur.
- The vendor assumes the entire responsibility and liability for losses, damages and claims arising out of the vendor's management company, as well as their respective agents, servants, and employees from any and all such losses, damages, and claims.

Vendor Hall Location:
Vendor Hall will take place at the Embassy Suites by Hilton (300 Court Street, Charleston, West Virginia 25301) in the Ballroom ABC. This room is carpeted. Virtual Tour of Hotel
Upon arrival at the hotel check in at the conference registration desk. located in the Pre-Function of the Ballroom, to receive your name badges. Table assignments will be provided upon check-in. Table locations are based on sponsorship and date of registration. You will NOT be provided with a map to select your location or table number. Please use your company name in arranging any electric or shipping needs.
Power Needs
Vendors are 100% responsible for all ordering and payment of electrical power at their table before arriving onsite for the conference. The cost is $45.00, and we will work with the onsite AV vendor directly to have power at your table/bed space.

Friends of Ostomates (FOW):
If you have leftover product ostomy samples that you do not wish to ship or reload, the Friends of Ostomates (FOW) will be attending and will be more than happy to accept any products you wish to donate. Silent + Live Auction:
If you are interested and able, you are welcome and encouraged to bring an item or assorted basket of items to donate to the silent or live auction. Your company name will be posted as “Donated by….” and announced either during the live auction on Friday evening or at the conclusion of the silent auction. Your support of the MEC Scholarship Fund is appreciated.
Hotel Booking Details:
The Mideast Chapter of the WOCN® Annual Conference will take place at the Embassy Suites by Hilton. A room block has been held at the conference location from Wednesday, September 10, 2025, through Sunday, September 14, 2025, at a single room rate of $160.00 per night. Room rates are subject to applicable state and local taxes in effect at the time of check-out.

Group Rate is ONLY available until Friday, August 22 or until the block is full, whichever happens first. After this date it is at Hotel’s discretion whether to accept additional reservations, which will be subject to prevailing rates and availability.
You can also make reservations by calling 1-800-EMBASSY or 304-347-8700. Guests must identify themselves as being with the group, Mideast Chapter of the WOCN® Conference (Group Code: 93Y), at the time the reservation is made to receive the special group rate.
The conference has made a commitment to the hotel to secure a sufficient block of quality hotel rooms at competitive rates within the venue. We kindly ask participants and industry partners to book their hotel rooms at the host hotel.
Airport Shuttle: Embassy Suites offers a shuttle to and from Yeager Airport for a fee of $5.00, and within a 5-mile radius of the hotel a $5.00 Fee.

The Hotel or WOCN® is not responsible for any arrangements or expenses associated with the shipping or receiving of materials, merchandise, exhibits or any other items to and from the Hotel.

Materials will only be received 3 days prior to the event date. The Hotel will not accept C.O.D. shipments and all arrangements regarding shipping must be prepaid or billed to the vendor. Once your items are received, they will be available to you at the Front Desk.
Outgoing shipments are the responsibility of the individual to set up a pickup for the package and bring the boxes to the Front Desk. If you are using FedEx, UPS, etc then YOU must call the shipping company directly to arrange the pickup at the hotel with date and details. We suggest you come with pre-printed labels. The vendor is responsible for printing the label and placing it onto your packages. Do NOT leave your boxes in the hall at the end of the show. Beds MUST be picked up by 2:00 PM on Friday and they can be picked up and dropped off on the Washington Street entrance.
Frequently asked questions
Rate is $10.00 for guest overnight self-parking. For easy load into the Vendor Hall come in through the Conference Center Motor Entrance/Washington Street East Entrance. Note: The main hotel entrance is located off of Court Street and offers valet parking.
For consistency, we ask that you stick with the table provided. You may bring a pop-up sign/banner and set that behind your table where your chairs would be. However, anything larger we simply do not have the space for and ask that you make sure it will fit on top of your table.
Directions with a Comp Code were sent in the confirmation email. The person who registered your table is automatically your 1st representative and primary contact.
Select Additional Rep Badge ticket, fee is $150 per person. Keep in mind that space is limited and adding representatives does not add more tables or chairs to your space. Have all representatives registered before Friday, September 5th. Send email to wocn@albrechtevents.com for name swaps.
No, we will not be offering this onsite.
ALL table requests must be in writing and sent to wocn@albrechtevents.com on or before July 15, 2025. After deadline refund requests cannot be honored. A $150.00 cancellation fee will be charged for a single table and $250.00 cancellation fee will be charged for bed vendor.
An attendee list will be sent via email to the main contact POST conference. Attendees must opt into being included on this list per General Data Protection Regulation.
Yes! Feel free to collect business cards and hold a drawing. On Friday during lunch we will have a microphone available to announce your winner(s). Attendees must be present to win. See above for also the option to donate an item to the Silent Auction.
A simple paper sign with the company name will be provided but no other signage. We suggest bringing a branded tablecloth and/or other signage to place on your table with company branding. Pull up banners are allowed to be placed behind your table or to the side if space permits.
