VENDOR BOOTHS - NORTH AMERICAN YOUTH CONGRESS 2013

 

Showcase your organization at North American Youth Congress 2013 - the largest gathering of Apostolic young people in North America!

With your registration, you will receive:  

     1) Vendor booth - 12' X 8'

     2) Full page ad in the NAYC booklet*  

     3) Two NAYC registrations     

*Note: Full page ad must be in camera ready format or extra fees will apply for designing/layout. This ad is due May 1st. Your full booth registration fee is due by May 1st to guarantee your ad space in the NAYC booklet.

 

North American Youth Congress will take place August 7-9, 2013, at The KFC Yum Center in Louisville, KY. We anticipate having 13,000 or more students and youth leaders from around North America in attendance.

We have room in the corridors of The KFC Yum Center for promotional booths/displays, and we are making this space available to vendors and ministries for you to promote your products and services. There will be a nominal fee per vendor for a 12’ x 8’ space. Please make arrangements to provide any items needed for your booth area – tables, table clothes, extension cords, power strips, etc.  Our official decorator A.G. Exhibitions can also assist with any of these needs.

 

PLEASE NOTE:

  • All exhibitors will begin set up on Wednesday, August 7th at 8am. All exhibitors must complete their set up by 1pm. No exceptions.
  • Your vendor fee includes 2 registration passes.  Any extras will need to be purchased by your organization. 
  • Please be reminded that requests for furnishings will not be handled by any of the staff of the GYD.  A.G. Exhibitors is our official provider of furnishings.  You can find information about their furnishing packages here.

  • All exhibits must be broken down by midnight on August 9th.
  • You are free to distribute give-aways at your booth but please do not bring any type of beverage or food concessions into the arena.  We have a contractual agreement with the KFC Yum Center that prohibits the sale or distribution of [even free] food or beverages.
  • As a courtesy to other exhibitors, please do not play loud music from your booth or emit overly distracting sound.  Feel free to play and bring media with the volume kept at a reasonable tone.

Video Files

At NAYC 2013, we will be using a 16:9 format at a resolution of 720x480 through ProPresenter5.  We will be using SDI which only operates at standard video resolutions (480i/p in SD, 720p/1080i in HD). Since we will not be shooting or displaying in full 1080 HD, we would prefer SD files at a size of 720x480.  This will ensure that the computer running  video files via ProPresenter will not have latency issues.  ProPresenter will also scale the files to 720 if needed.  For more information on ProPresenter, visit this website: www.renewedvision.com.  It would be a good idea to send a test file or make sure your files are delivered early enough so that encoder or rendering settings can be changed if needed.

 

Booklet Page

A “full page” will be sized at 7.25 X 9.5 not 8 ½ X 11.  You can send the file as a flattened, high res, print-ready PDF file. Must have a 1/8 bleed on all sides.

 

NAYC Vendor Loading / Unloading Information

Vendors will be able to use the arena loading doack to unload, but there is not enough room to park there. The parking garage for The Galt House is between the hotel and the arena. Security at the arena loading dock will have a list of vendors who will be unloading.
