Description

The Louisiana Gumbo Festival of Chackbay is accepting applications from anyone wishing to be a vendor at the 2018 festival. WE ARE NOT ACCEPTING ANY PREPARED FOOD VENDORS OR ALCOHOL VENDORS.


General Information: The Louisiana Gumbo Festival of Chackbay (LAGF) will take place on October 12-14, 2018 at the Chackbay Fairgrounds located at 326 Hwy 304 Thibodaux, La 70301. Festival hours are Friday 6p-12a, Saturday 12p-12a, and Sunday 12p-6p. This is an outdoor festival; festival organizers reserve the right to cancel the festival at any time due to poor weather conditions.


Vendor Eligibility: The LAGF committee will review all applications to determine if the vendor is a good fit for our festival. We reserve the right to deny any application that we feel will not help to promote the vision of the festival. The LAGF also reserves the right to prohibit vendors from selling items that have been deemed unsafe, illegal, distasteful, a nuisance, or otherwise unwanted by festival organizers. We strictly prohibit the following: silly string, laser lights, and realistic looking prop or toy weapons. Inflatable animals and or cartoon characters are also prohibited. LAGF is not currently looking for any prepared food vendors. Vendors who sell a packaged food product like jams, jellies, mixes, candies, etc. are still eligible.


Special Note: Accepted vendors WILL NOT be allowed to use the name “Louisiana Gumbo Festival of Chackbay” or any of the LAGF logos on their products without written permission from festival organizers.


Vendor Fees: $250 for the 3-day event. Additional fee of $25 if electricity is needed. Late fee of $25 applies after 10/10/18. All fees must be submitted at time of application by check, money order, or PayPal. ALL FEE’S MUST BE PAID IN FULL PRIOR TO THE START OF THE FESTIVAL, NO EXCEPTIONS!!! In the event your application is denied, your entire fee will be returned. In the event the festival is canceled by festival organizers prior to the start of the festival, your entire fee will be returned to you. In the event the festival is canceled by festival organizers once the festival has begun, you will be refunded ½ of your fees.


Application Procedures:

  • Complete the vendor application and waiver and submit by email or US Mail along with fees.
  • Vendors wishing to pay online should do so using the link on our webpage under the “Forms” tab
  • The selection committee will review the application and make a decision based on the needs and interest of the festival
  • Vendors will be notified of their acceptance status by email. Unless no email is provided then we will notify via phone. Those accepted will receive space assignment and setup information in early October.
  • Vendors who are not accepted will be refunded their fees in a timely manner

General rules:

  • Canopy (tents), tables, and chairs must be supplied by the vendor. Vendors must be prepared for any kind of weather and are responsible for assuring tents, tarps, tables, chairs, and all other display equipment is properly restrained.
  • All display and merchandise must be placed within your 10x10 space. ANYONE WHO USES MORE THAN A 10x10 AREA WILL BE CHARGED FOR (2) SPACES. Please be sure your tent is not larger than 10x10 if you are renting (1) space.
  • The festival does not allow the use of generators. Limited electricity is available on a first come first serve basis for an additional charge of $25.00. Vendors are responsible for supplying electrical cords.
  • This is a family event. No distasteful or offensive items will be allowed. Festival reserves the right to prohibit vendors from selling any item it deems not in the best interest of the festival.
  • Vendors are prohibited from selling or distributing Food or Drinks. Certain exclusions may apply for those vendors offering pre-packaged and sealed items such as jams, jellies, mixes, candies, etc.
  • Festival organizers will try to limit duplicate merchandise sold, however LAGF cannot guarantee exclusivity of any item
  • The festival is not responsible for any loss or theft incurred by vendors.
  • All Vendors are responsible for collecting sales tax and remit payment to the state and parish tax offices. LAGF reserves the right to prohibit or deny the participation of any Vendor who is not in good standing with state or parish tax departments.
  • Vendors are responsible for keeping their area clean and orderly.
  • Vendors must notify the Louisiana Gumbo Festival of Chackbay immediately of cancellation. No refunds will be issued for cancellations after 10/01/18.
  • Vendors should have booths set up prior to the start of the festival each day. Vehicles WILL NOT be allowed inside the festival grounds while festival is open. NO EXCEPTIONS!!
  • Vendor parking will be within the main festival parking area.
