Each exhibitor will receive:
- One space with a 6ft table - including a white tablecloth and 2 chairs. If needed, an additional space may be purchased.
- Breakfast during set up (pastries, fruit, juice, coffee)
Move-In - Move-in begins promptly at 9 am. All vendors must be moved in and set up no later than 11:45am. Vendors are expected to participate for the complete time of Noon-4pm. Any early departures will not be refunded.
Promotion - The showcase will be promoted on our Facebook page reaching a minimum of 5000 people. In addition, you will be encouraged to advertise with your client base.
Showcase agreement and guidelines

As an EXHIBITOR, you agree to participate in the Holiday Vendor Showcase on Sunday, November 20, 2016 from 12:00 p.m. – 4:00 p.m. at the Embassy Suites-Springfield – 8100 Loisdale Road – Springfield, VA 22150
In order to guarantee the right to an exhibit space, registration and payment must be received by Andrea Green by November 1, 2016.
Exhibit space is sold on a first paid basis. Use of an exhibitor table is for one exhibitor only. Duplicate vendor types will be limited to one of each. Please contact us before registering to make sure your product or service is not already being exhibited. Products from non-participating exhibitors may not be displayed or promoted. Exhibitor agrees not to sublet or sell any part of the space purchased to any other exhibitor, business or individual. Exhibitor agrees to advertise and sell exhibitor’s own product or service and no other business. Placement of your space is at the discretion of the show producer.
You may not bring, set-up or use any other display unit fixtures or equipment that will infringe upon another exhibitor’s space. Exhibitors agree not to block aisles or go outside the boundaries of the designated space with tables, trays, noise or salespeople. Exhibitors will not be permitted to use microphones, unless approved in advance by the show’s producers. Music is permitted, but must be kept at a volume to ensure it does not interfere with the spaces in your area. Volume will be determined by the show producers. Smoke machines are not permitted.
In the event that the Holiday Vendor Showcase is postponed due to any occurrence not occasioned by the conduct of show management, whether such occurrence is by an act of God or the result of war, riot, civil commotion, sovereign conduct, or the act or conduct of any person or persons not party or privy to the lease, then the performance of the parties under this agreement shall be excused for such a period of time as is reasonably necessary after such occurrences to remedy the effects thereof, and in any event for the duration of such postponement. In the event such occurrence results in the cancellation of the showcase, the obligations of the parties under this agreement shall be automatically terminated and all payments made shall be refunded to exhibitor.
The exhibitor agrees and understands that NO REFUND WILL BE ISSUED if exhibitor is forced to leave the Showcase because they did not abide by the rules outlined in this agreement. As an authorized representative for the exhibitor, you agree to the above terms and conditions. You agree that a registration transmitted electronically shall be deemed an original document and enforceable there as.
Can I pay the registration fee in installments? We offer to two payment options:
#1 - Pay the registration fee in full during initial sign up.
#2 - Pay 50% at sign up and the balance by November 1 - you will be invoiced.
What are my transport/parking options getting to the event? The hotel is located within minutes of 495. Free parking is provided in the outdoor parking lot.
What can/can't I bring to the event? Absolutely NO food/beverages can be displayed, distributed or sold. You are welcome to display candy.

Is my registration/ticket transferrable? Registration can only be transferred with the approval of Andrea Green.
What is the refund policy? There are no refunds for no-shows or vendors who leave early. If you can not attend, please contact Andrea Green as soon as possible regarding transferring registration to another vendor. Any refunds requested will be reviewed on a case by case basis.
