IMPORTANT INFORMATION

Congratulations on getting hired at Roosevelt University! If this is your first time working on-campus you will need to attend a New Student Employment Orientation/Onboarding. Onboarding is required for all new hires and is necessary to do before you can begin your on-campus job. Please note that if you do not finish this onboarding session you cannot work on-campus. Students who have already completed onboarding in the past do not need to attend another session but are welcome to contact us to verify their completion of onboarding. Students must have also applied for their position on Career Central. This is required every academic year.

Only sign up for a session after you have been hired for an on-campus job and if you have never worked at Roosevelt University before.  If you are interested in on-campus employment, visit the Career Development page: https://www.roosevelt.edu/current-students/money-matters/student-employment

Once you have completed onboarding you and your supervisor will receive a confirmation email on your Roosevelt e-mail account when you are authorized to begin working. You should not start working until you get this e-mail.

REQUIRED BEFORE ATTENDING:

Step 1: Complete section 1 of the I-9 at http://www.newi9.com.  The employer code for Roosevelt University is 13955. This should be completed one day before your scheduled session.
Step 2: Gather I-9 documents that are acceptable for eligibility verification. Documents must be originals and must be presented in person.  Copies or faxes cannot be accepted.  The list acceptable documents can be found at http://www.uscis.gov/files/form/i-9.pdf#page=9
Step 3: Bring your original I-9 documents from step 2 to the onboarding session (copies cannot legally be accepted). You will not be admitted to the session and cannot start working without bringing your original, acceptable documents.

INTERNATIONAL STUDENTS: Please note that the verification documents you need to present are different than a US Citizen. Please make sure to bring your original Passport, I-20, and I-94. If you have a Social Security Card, you will also need to bring that with you to onboarding. If you do not, you will need to apply for one and bring it back to our office as soon as you receive it. Copies of any of these documents CANNOT be accepted. International students also need to get work authorization from the International Office, the link to fill out this form is listed below. The international office will also assist you with information on how to apply for your Social Security Card.

OPTIONAL before attending:

Complete federal and state W-4 forms and bring them to the onboarding session. If you do not complete these ahead of time, we will have blank forms available to complete at the onboarding session.

Federal: http://www.irs.gov/pub/irs-pdf/fw4.pdf
State: http://tax.illinois.gov/taxforms/withholding/il-w-4.pdf

DIRECT DEPOSIT: In order to set up direct deposit you need to bring in a voided check or a direct deposit slip from your bank. Most banks have direct deposit slips available online. This document is required to set up direct deposit. If you do not choose to receive direct deposit you will have to pick up a paper paycheck at the cashier’s office on pay day. This will be elaborated on during onboarding.

Any questions can be sent to studentjobs@roosevelt.edu with “Onboarding Question” as the subject line.
