Event Details

The data summit is part of the AASHTOWare Standard Data Integration Framework Project.  The primary goal of this project is to develop the data structures that allow AASHTOWare to be more easily and quickly integrated into state department of transportation information technology environments.  The data summit objectives are to share information captured so far and obtain feedback on integrations that should be developed between AASHTOWare products to facilitate data sharing and integrations that should be developed between AASHTOWare and enterprise DOT systems to provide for better information sharing and easier and quicker upgrades and deployments.

 Hotel/Meeting Information

The meeting will take place at the Embassy Suites by Hilton Denver Downtown Convention Center hotel.  Group room rates are $159 (single or double) plus taxes (currently 15.75%) per night.  For more than double occupancy, there is an additional person charge of $15 per day.

Reservations

Attendees must self-register.  The reservation cut-off time is 5 PM (MST) on January 2, 2019.  Reservation requests made after that time will be at the hotel's prevailing rate.  Reservations may be made by contacting the hotel directly at 303-592-1000 and requesting the group block, contacting the Hilton Hotels room reservation department at 1-800-HILTONS, or going to the personalized group reservation page.  The room block is under the name “American Association of State Highway and Transportation Officials.”  If necessary, rooms must be cancelled with a cancellation number obtained at least 48 hours prior to arrival to avoid a cancellation fee (one night’s room rate + tax).  If the reservation is not cancelled and the guest fails to arrive as scheduled, a no-show fee will be applied (one night’s room rate plus tax).

Individual Reservation Guarantee Policy

The hotel requires a credit card guarantee to hold each individual reservation. The hotel accepts American Express, Diners Club, Discover Card, MasterCard, and Visa. The credit card will serve as a guarantee only. Should the guest not have a credit card the hotel requires a deposit equal to one night’s room rate + tax and shall serve to confirm the reservation for the dates indicated. The hotel must receive the deposit no later than 10 business days prior to arrival date. Said deposit shall serve to confirm the reservation for the dates indicated, and, upon check-in, shall be applied to the guest folio of the reserved stay.

If the guest fails to cancel the reservation in accordance to the cancellation policy or otherwise fails to show up for their reservation, the guest will forfeit the deposit or the hotel will charge the attendee's credit card one night’s guest room rate and tax.

Transportation

The hotel is 27 miles from Denver International Airport.  Drive time is around 36 minutes.  The typical minimum charge for a taxi is approximately $60.  Super Shuttle is around $34.  Light rail (estimated at $9 for the entire day) and ride-hailing services, such as Uber and Lyft, are also available.

Parking

The hotel offers valet parking only, subject to availability.  Current prices are as follows, and are subject to change without notice:

  • 0-4 hours:                            $20.00
  • 4-8 hours:                            $24.00
  • 8+ or overnight:                  $44.00

Baggage Handling

Baggage handling for groups arriving by bus is $8.00 per person, roundtrip.  Please submit approximate arrival and departure times to the hotel at least seven days before arrival.

Data Summit Pre-requisites

The data summit attendees are requested to come prepared, which will involve (a) completing a survey, (b) familiarity with the packet of materials that will be made available before the summit, (c) understanding how AASHTOWare is used in the DOTs, and (d) readiness to share and discuss information about AASHTOWare systems and needed integrations.

The survey is located here. Please complete it by December 21, 2018.

The data summit package will contain information about the project and the findings to date. The package will also inform attendees about the information they will be requested to complete prior to the summit and be ready to present at the summit. The information to be compiled includes: (a) responses to questions prepared by the project oversight committee; (b) a five-minute presentation summarizing and highlighting AASHTOWare integrations implemented, desired, and planned; and (c) a list of AASHTOWare integrations, the data they transfer, the systems they integrate, and the business processes they support.

AASHTOWare-DOT Enterprise System Integrations: During this session (including breaks), open discussion on AASHTOWare to DOT Enterprise system integrations will be held. The enterprise systems covered will include: Financial Management, Asset Management, Project Management, Document Management, and Design/Construction Systems. This will build on discussions from the previous day. The goal is to validate that the interfaces being considered for standardization by the project team are in alignment with the DOTs.

Future Topics for Data Integration:

During this session, the project team will first make a presentation on future data management, data integration, and interoperability technologies, tools, and techniques. The relevance and benefits of adopting these from the perspective of AASHTOWare business processes and use cases will be addressed. The presentation will include topics such as big data, advanced data analytics, and reporting, cloud computing, web-based and mobile technologies, spatial data systems (GIS/LRS), Civil Integration Management, and data governance. The presentation will be followed by open discussion.
