Welcome Vendors

We are looking for vendors like you to showcase your business at the South Florida HBCU Picnic.

Food Vendor

  • 10x10 Tent - $300

Food Truck Vendor

  • Food Truck 18x8 or smaller - $350
  • Food Truck 18x8 or smaller trucks with additions- $450
  • Food Truck over 18x8 - $500

Merchandise Vendor

  • Shared Tent - $150
  • 10x10 Tent - $300
  • 10x20 Tent - $450
  • Custom Size over 10x 20 –deposit only $500; you will be quoted a final price.

General Business Vendor

(Business Services, Non-designated HBCU schools, Non-Food or Merchandise vendors, Non-Political Organizations)

  • Shared Tent - $150
  • 10x10 Tent - $300
  • 10x20 Tent - $450

1. REGISTRATION FORM AND VENDOR FEE/DEPOSIT MUST BE SENT AT THE SAME TIME OR THE APPLICATION WILL NOT BE ACCEPTED.

i. Application and payment must be submitted no later than June 16, 2023.

ii. Vendors will be selected at the organizer’s discretion and will be notified if selected.

iii. Vendor agrees to furnish to the South Florida HBCU Picnic, proof of liability insurance coverage in the amount of $1,000,000.00 per occurrence and $2,000,000.00 General Aggregate. The COI must be submitted to info@sfhbcupinic.com. Proof of COI must be submitted no later than one week after submission of payment. If COI is not received within a week, your application may be forfeit and your monies will be refunded minus any fees incurred by South Florida HBCU Picnic. All applications, payments, and COIs must be received no later than June 16, 2023.

2. Vendors should arrive by 11:00AM to set up. No exceptions. Vendors may start cleanup at 7:00pm.

a. Vendors are responsible for leaving the area as they found it.

b. Vendors are responsible for maintaining an organized set up during the event and leaving a clean area at closing.

3. Vendors under a shared tent are responsible for providing their own table and chairs for the event. If bringing a table, limit to no more than one 8 ft table and 2 chairs. (L-shape setup may be possible if 2 tables are needed; seek approval from organizers.)

a. Vendors in a separate tent will have one 8 ft table and 2 chairs provided to showcase your business and/or products.

4. Vendors will assume responsibility for all personal property and equipment. Any extra considerations outside of this agreement will be reviewed on a case by case basis. Please contact Melody Miller at info@sfhbcupicnic.com.

5. Vendors may not obstruct the view of any other vendor or school participant.

6. The organizers will not be responsible for any injury, property damage, or loss occurring while in attendance. The vendors of the South Florida HBCU Picnic will hold harmless South Florida HBCU Picnic and Florida Memorial University.

7. Vendors shall exhibit professionalism at all times.

8. Please note, the event and its participants will be photographed and recorded for marketing purposes.

a. Vendors of the South Florida HBCU Picnic releases South Florida HBCU Picnic and Florida Memorial University and assigns permissions to license all images, videos, and sound recordings in any media for any purpose which may include, among others, advertising, promotion, marketing, and packaging for any product or service.

b. The vendor agrees that any images, sound, and video recordings may be combined with other images, text, graphics, cropped, altered, and modified.
