Building partnerships to encourage water conservation and protect the waters in
Polk County and Central Florida

Polk County covers 7 water basins: Alafia, Hillsborough, Peace, Ocklawaha, Little Manatee, Kissimmee, and Withlacoochee, impacting Florida’s water from Tampa Bay and the Gulf to the Atlantic shore. Understanding that diverse water issues are actually inter-related is an essential message. Our citizens are proud of our beautiful area and seek to find more ways to bring positive changes to our county. 

Annual 7 Rivers Water Festival features hands-on exhibits, loads of learning opportunities, food, vendors, professional landscapers, live animals, lots of fun, games and prizes in a free festival atmosphere!

This site allows you to register as a Partner and/or a Vendor/Exhibitor. 

Partners: Festival expenses are covered by generous partners, and are used to cover expenses such as advertising, live entertainment, animal exhibits and equipment rental. We're happy to accept partnerships of varying amounts including in-kind donations (media, reduced rentals, etc.). Please send an email to JacquelineHollister@polk-county.net for a Sponsorship Packet.

 Vendor/Exhibitor: All exhibitors and vendors can be any type of organization as long as it does not conflict with the environmental/conservation/pollution control theme of the Event. There is no fee but we ask that you donate item(s) valued at $25 or more to the door prize drawings. Please bring your donated items with you on May 6.

 The County will provide tables and chairs for the Vendor/Exhibitors at the Event. Depending on the number of registered Vendor/Exhibitors, the proposed Exhibit Space locations may be adjusted. Vendors/Exhibitors must provide their own equipment, tent, generators, signage, etc.  Power and water access are limited at Simmers-Young Park and are identified on the Event map above with E (electric) and W (water).

All Vendors/Exhibitors must be completely set up and operational from 9 am (1 hour before opening) through 3 p.m. Vendors are responsible for collecting all applicable sales tax from the sale of their merchandise.  Please describe your display in the section labeled, “Type of Exhibit”. All proposed items to be sold and activities to be conducted at the Event must be approved by the County’s Event Coordinator. The Event Coordinator will consider requests for sale items and activities on a first-come, first-served basis in the order the County receives completed insurance forms. The County seeks to avoid redundancy with respect to sales items and activities presented at the Event. However, the County’s approval of a Vendor/Exhibitor’s proposed sale of an item or conduct of an activity at the Event is not the County’s grant to a Vendor/Exhibitor of the exclusive right to sell such item or conduct the activity at the Event.  When submitting proposed sale items or activities for approval, Vendors/Exhibitors should adhere to the Conservation/Pollution/Environmental theme of the Event. The County reserves the right to reject any proposed sale item or activity based upon its inconsistency, as determined by the County in its sole discretion, with the Event theme. Unless otherwise notified in an acknowledgement returned to you by the Event Coordinator, all proposed items and activities listed will be determined to be acceptable.

 Insurance Requirements All Vendor/Exhibitors must comply with the requirements stated in the Insurance, Indemnity and Liability Requirements which will be e-mailed to you.  A Vendor/Exhibitor’s compliance with the Event Insurance, Indemnity and Liability Requirements is a material inducement to the County’s issuance of a License. A Vendor/Exhibitor’s receipt and acceptance of the License from the County evidences the Vendor/Exhibitor’s acknowledgment and agreement to all the Insurance, Indemnity and Liability Requirements including, but not limited, to the waiver, release and indemnification of the County stated therein.  All required insurance obligations must be obtained and verified before the County will confirm the assignment of a Vendor/Exhibitor’s space. The County’s Event Coordinator will contact you with full information once your "ticket" is reserved.

LICENSING PROCESS; EXHIBIT SPACE ASSIGNMENT

Exhibit Space will be assigned on a first-come, first-served basis, taking into account the type of exhibit and space requested. Spaces will be confirmed and final Exhibit Space location maps produced approximately 1 week before the Event.

Vendor/Exhibitor is applying for a license (License) to occupy a designated Exhibit Space for the 7 Rivers Water Festival event (Event) to be held May 7, 2016 at the County’s Simmers-Young Park. The County’s grant of the License shall be evidenced by its delivery to the Vendor/Exhibitor of an e-mail acknowledgement stating that all requirements have been met and approved for the Vendor/Exhibitor’s participation in the Event.  In addition to the matters stated in the returned acknowledgement message, the terms and conditions of the License shall consist of those stated in the following sections of this message:  Insurance, Indemnity and Liability Requirements and 7 Rivers Water Festival Rules and Regulations.

The Vendor/Exhibitor understands that this message is not and does not constitute a License and the Vendor/Exhibitor will not have an Exhibit Space secured until the Vendor/Exhibitor receives a separate e-mail acknowledgement from the County Event Coordinator stating that all requirements have been met and the Vendor/Exhibitor has been approved for participation at the Event.

Should the Vendor/Exhibitor be granted a License, the Vendor/Exhibitor shall have the privilege to use or occupy a designated Exhibit Space located on a specified area of land within Simmers-Young Park for the duration of the Event subject to and in accordance with the terms and conditions of the License.  The submission of its Application form to the County does not guarantee the Vendor/Exhibitor that it will be granted a License for an Exhibit Space. The County’s grant of a License, or the Vendor/Exhibitor’s use of any Exhibit Space at the 7 Rivers Water Festival Event, does not create any presumption or expectation of the Vendor/Exhibitor being authorized to use that space or any other Exhibit Space at any subsequent event.
