OVERVIEW

Thank you for your interest in vending in the PRIDE VILLAGE area of Buffalo's Annual Pride Festival. Pride Village is a place where vendors can share their organizations with festival-goers. Organizations in our COMMUNITY TENT are invited to share educational or promotional information about their business or services with attendees, while RETAIL VENDORS are invited to rent or set up tents next to the community tent where they can sell their merchandise. Please note that the sale of food, beverage, or alcohol is strictly prohibited. 

  • EVENT DATE: Sunday, June 4
  • LOCATION: Canalside - 44 Prime Street, Buffalo, NY 14202
  • SET-UP: Beginning at 9:30 AM, All vendors must be checked-in by noon (details below)
  • REGISTRATION DEADLINE: Friday, May 19 - Space is limited and will be assigned on a first-come, first-served basis.

VENDOR FEES

The Pride Center does not charge Pride Village vendors a percentage of sales; however, we do charge a participation fee to help offset the cost of tents, tables, permits, etc. Full payment is required to reserve your vending space. Rates are as follows:

  • Retail Vendors / Tents
    • Retail Vendor (selling items at event; 10’ x 10’ tent, table, and 2 chairs included): $450
  • Community Tent - table and 2 chairs provided for all participants
    • Table Type I (non-profit with operating budget less than $100,000): $55
    • Table Type II (non-profit with operating budget of more than $100,000): $110
    • Table Type III (for-profit organization; not selling items at the event): $215

Electricity will not be provided and generators are not allowed. 



 

DAY-OF INSTRUCTIONS

SET UP TIMES 
Set up will begin at 9:30 AM on Sunday, June 4. All vendors MUST check-in by NOON and be completely set up by 1:00 PM. Vendors will not be allowed to set up earlier than 9:30 AM or later than 12:00 PM. Failure to comply may result in exclusion from the event without refund. 

LOCATION & PARKING
Canalside can be easily accessed from Buffalo through city streets like Pearl, Washington and Scott, by riding to the southern end of the Rapid Transit rail system on Main Street (Erie Canal Harbor Station), or from exits off the I-190 and Skyway (Route 5). Use the address 44 Prime Street, Buffalo, NY 14202 for GPS navigation. Pride Village vendors are permitted to unload setup materials on Lloyd Street and quickly remove vehicles (drop-off only). CLICK HERE for a map and listing of available parking locations (please note: free parking on Prime, Lloyd, Hanover, and Perry Streets will not be available during this event).

 



TERMS & CONDITIONS

IMPORTANT: All vendors must adhere to the terms outlined below as a condition of participation at the Pride Festival. Please read this document carefully and contact info@buffalopridefestival.com if you have any questions or concerns.

  1. Application fee is due at time of registration.
  2. Vendor agrees to submit a PRODUCT LIST of all items that will be sold or distributed. Product list forms must be returned by May 19, 2017 to info@buffalopridefestival.com or by fax to 716.541.0673.
  3. Vehicles used for loading and unloading must be cleared from Festival grounds by noon on the day of the event.
  4. Vendor is responsible for collecting and reporting all Local, State, and Federal Taxes according to relevant laws.
  5. Vendor is required to follow all New York State, Erie County, and City of Buffalo laws and ordinances.
  6. Vendor agrees that merchandise will ONLY be sold within their designated area (as defined by PCWNY).
  7. Vendor acknowledges that the sale or distribution of food, beverage, and/or alcohol is strictly prohibited.
  8. Vendor acknowledges that outside food, drink, and/or live animals will not be permitted on the festival grounds, as per our agreement with Canalside Buffalo, security, and our insurance providers.
  9. Vendor MUST check-in by NOON and be completely set up by 1:00 PM. Vendors will not be allowed to set up earlier than 9:30 AM or later than 12:00 PM (noon). Failure to comply may result in exclusion from the event without refund.
  10. Vendor is responsible for cleaning-up in and around their assigned area at the end of the Festival. Tear down and clean-up must be completed by 8:30 PM.
  11. There will be no electric provided and generators will not be allowed.
  12. Available sites will be allocated at the discretion of the Pride Center of WNY (PCWNY) and are subject to availability. Sites may not be traded or assigned without the express permission of PCWNY.
  13. PCWNY is not responsible for the loss or damage of any vendor property, merchandise, belongings, or equipment.
  14. PCWNY retains the right to refuse any application, without liability.

HOLD HARMLESS: With its online registration, VENDOR HEREBY UNDERTAKES to HOLD HARMLESS and AGREE TO INDEMNIFY the Pride Center of Western New York, Inc. and all affiliated parties from and against any and all liability incurred in connection to participation in the 2017 Annual Pride  Parades and Festivals.
