CONFERENCE CONDITIONS

AIR: The Black Psychiatrists of America (BPA) conference package does not include flights of any kind. Arrangments for flying to Montego Bay, Jamaica are at the sole discretion of the attendee(s) and BPA assumens no responsiblity or liability for any flight delays, missed connections, or flight cancellations.

OPTIONAL TOURS: Optional Tours are not included in the conference land package or the conference registration fees. Such tours are at the sole discretion of attendees and must be paid in advance of the tour. BPA will make some suggestions with respect to popular optional tours but by no means are these suggestions to be considered an endorsement of such tours. BPA assumes no responsiblity, liability, or gurantees with respect to optional tour activities.

AIRPORT TRANSFERS: Attendees who purchase the "Conference Land Package" will be provided with roundtrip aiport transfers to and from the hotel. Those who do not utilize the "Conference Land Package" are responsible for their own airport to hotel transfers. A special identification log will have the names of all those who have airport transfers arranged through the land package program. BPA assumes no liability or responsiblity for the transportation vehicles utilized in the aiport transfers of to and from your hotel.

HEALTH FACILITY SITE INSPECTION TRANSFERS: All registered conference participants can attend the site inspection to the local mental health facility but attendance and participation in this specific activity is optional although it is a part of the total conference activites and counts as part of the educational component of the conference. There are no refunds should you elect not to participate in this tour. BPA also assumes no liability or responsibility for the transportation vehicles utilized to particiapte in the site inspection.

HOTEL ACCOMMODATIONS: The Conference Land Package includes all items previously identified and for the 5 day/4 night duration of the conference. Extensions before and after the conference are at the sole discretion of the attendee. Conference rates apply for three days pre and post conference and should be paid in advance of the confeence date. Room accommodations are for double (2 persons to a room) or single (one person in a room) occupancy. All rooms are non-smoking unless you specify that you want to be on a smoking floor at the time you complete your online registration form. Specific bed types and ADA rooms should also be requested on the online registration form. BPA has no authority to determine whether or not your specific request will be honored and room accommodations are at the sole discretion of the hotel, Early registrants will most likely be guaranteed their request, Late registrants may be taking a risk at having their specific room requests honored.

MEALS: The "Conference Land Package" is all-inclusive. Persons booking at other hotels or outside of the BPA room block who attend the conference will have to pay an additional fee to attend some of the meal functions associated with the conference (Awards Reception & Banquet / Delgado Luncheon & Lecture). Tickets will be available for these two food events should that be your option.

CANCELLATIONS & REFUNDS: All cancellation requsts must be in writing (email or snail mail) and are processed on an individual basis. An administrative fee of $35.00 will be assessed on all refunds due if cancellations are made within the appropriate time period of thirty (30) days prior to November 8, 2012. Cancellations made between 29 - 15 days prior to November 8, 2012, will be assessed the administrative fee of $50.00 plus 10% of all payments received to the date of the cancellation. There are no refunds for any cancellation requsts made within 14 days of the conference start date or early departures once the conference ends. There is a one-night's assessment by the hotel for any early departures from the original reservation dates if not done so at least 24 hours prior to the conference start date. Once approved, refunds are madewithin 45 days of the approved date.

BOOKINGS & PAYMENTS: Payments must be made at the time of registration. There are no deposit or installment payment plans for this conference. BPA only accepts payments via credit cards, money orders or checks. Checks must be received at least 14 days prior to the start of the conference and will incur a fee of $35.00 should any check not clear the bank upon initial presentation. BPA does not accept purchase orders for payment. BPA reserves the right to accept only cashier's checks or money orders in cases where "bad checks" have been previously written to the association. Online registrants can book conference registration and land arrangments on seperate ocassions. Once you have been assigned an online identification code, you can return to your files and add additional entries. However, all payments must be made in full at the time of any individual booking.
