Dear Colleagues,

 

Thank you for your interest in volunteering at the 11th Annual UC Davis Pre-Medical & Pre-Health Professions National Conference: “Passion for Life, Service and Your Future in Health Care” (formerly AMSA ARC/UCD Pre-Medical and Pre-Health Professions National Conference) This event would not happen without your help and support.

 

The conference has expanded to cover the Pavilion, Main Quad, Wellman, Olson, Social Science, Rock Hall, Science Lecture Hall, and the Young buildings as the projected number of attendees has increased from last year to 6,500.  We have outstanding speakers and guests lined up who will need your help to get across campus, and also attendees who will be looking for your assistance in where to go. We can tell you that as coordinators we have enjoyed the interaction with so many admission professionals and physicians. Most of all, we are excited about hosting the largest pre-health professions conference in the country.

 

Duties


Regular volunteer

Regular volunteers contribute to the smooth flow of the conference, and event logistics.

  • Set up/take down conference equipment

  • Registration assistance

  • Help serve lunch, snacks, and dinner

  • Answer attendees’ questions/ give directions to workshop buildings

  • Escort speakers around campus

 

Workshop volunteer

The workshop volunteers will be responsible for smooth transitions between workshops, and for providing technical support to the speakers if needed.

  • Assist guest speakers with presentation setup*

                    * AV training will be provided at Workshop Volunteer Orientation

  • Guide the attendees to the workshop of their interest

  • Maintain each room capacity limit

  • Manage tasks given by Conference Coordinators



Orientation

 

  • Regular Volunteer

    We will have a quick, 1-hour intro and task coordination on Thursday October 10, 2013 at 7pm - 8:30pm at UC Davis (Science Lecture 123). We will go over the tasks and assignments.  Our goal is to have your support and assistance for a successful conference, and we hope to provide you enough time to interact with guests and attend conference events.

 

  • Workshop Volunteer

    We will have a longer introduction on Thursday, October 10, 2013 at 7pm - 9pm at UC Davis (Rock Hall). The first hour will consist of introduction to the task coordination and expected requirements. For the second hour, we will have an AV tech teach us how to operate the AV system. Please bring your laptops, chargers, and associated accessories because we will have each of you practice setting up your laptops. Our goal is to have your support and assistance for a successful conference, and we hope to provide you enough time to interact with guests and attend conference events.


 

Requirements

  • Must Register online (see below);

  • Attend your respective orientation on Thursday October 10, 2013 at UC Davis Regular Volunteers (Science Lecture 123 at 7pm - 8:30pm) and Workshop Room Volunteers (Rock Hall at 7pm - 9pm)

  • Work a 5-hour shift during the conference.

**Although there is an initial $35.00 volunteer registration fee, you will be reimbursed in full once you have completed your volunteer shift. Eventbrite, our third-party ticket vender, does charge a $2.54 processing fee that you will not be able to recoup. We apologize for the inconvenience.

 

  • Appreciation dinner + raffle (Location, Time and Date TBA). The raffle will include four Kaplan courses (GRE, MCAT, DAT, OAT) and other awesome gifts.

  • Food before or after shift

Organizations recognized nationally for hosting the largest pre-health professions conference in the country.

  • Recognition by the university leadership (chancellor) and national exposure (other major national universities).

  • Host, interact, and network with representatives, leaders, and directors of admission for medical and health professions schools on a direct, professional level.

  • Interact and network with other Pre-Med and Pre-Health Student organizations at UC Davis.

  • Represent your group in establishing a new legacy of the largest UC Davis pre-med/pre-health conference.

  • Club/organization recognized on the website with links/ T-shirt/ program

 

Time Blocks

Please pick one five-hour block to commit to for the conference. Keep in mind that you must remain on site the entire allocated time. Please limit your shift to only one five-hour block. If you want to be more involved with the conference beyond volunteering for a five-hour block, we encourage you to apply for a Staff Volunteer position. Failure to attend orientation is an automatic volunteer withdrawal and you forfeit your benefits.


 

Regular Volunteers:

A mandatory orientation will take place on Thursday October 10, 2013 at 7pm - 8:30pm at UC Davis Science Lecture 123

 

Regular Volunteer shifts:

  • Friday, October 11, 2013:

    • 12pm - 5pm

    • 3pm - 8pm;

    • 5pm-10pm.

  • Saturday, October 12, 2013:

    • 5am - 10am;

    • 7am-12pm;

    • 10am-3pm;

    • 11:30am-4:30pm;

    • 4pm-9pm;

  • Sunday, October 13, 2013:

    • 5am-10am;

    • 7am-12pm;

    • 10:30am-3:30pm;

    • 3pm-8pm;

    • 4pm-9pm.

 

Workshop Volunteers:

A mandatory orientation will take place Thursday October 10, 2013 at 7pm-9pm at UC Davis (Rock Hall).

 

It is required that you bring yourlaptop and charger, a USB drive, and if applicable, a Mac/VGA adapter.This is a special opportunity for you to interact directly with speakers, many of whom are deans from some of the top medical schools in the country. During the conference you will need to sit in on an assigned workshop (5 hours). We will teach you how to use the presentation equipment and what to do.

 

Workshop Volunteer shifts:

  • Saturday October 12, 2013

    • 1:00pm-6:00pm

  • Sunday October 13, 2013

    • 12:00pm-5:00pm.

 

 

Deadline to register for Regular Volunteer and Workshop Room Volunteer is Friday, October 4, 2013 at 11:59pm or until it’s filled. This opportunity is available on a first-come, first-serve basis. NOTE: You can volunteer even if you’ve already registered for the conference. However, you will not receive a reimbursement or transfer for your ticket fee.

 

Staff Volunteers

This is a special opportunity for you to work with board members from the 11th Annual UC Davis Pre-Medical & Pre-Health Professions National Conference. As a staff volunteer you must come to 6 meetings at UC Davis Medical Center before the conference (dates and times below).

This is a great opportunity for you to get experience organizing a conference. You will be trained to manage information booths, direct the flow of volunteer registration and attendee registration. This is a great way to get involved with the conference leadership for next year.
